1. Scope
TaxWise LLC operates this website. This policy explains information handling for website visits, optional newsletters, inquiries, online intake and engagement forms, appointment booking, payment features, and the client portal where those features are available or enabled.
Professional engagements may involve additional notices, confidentiality obligations, agreements, and specific consents. This website policy does not replace them or authorize a disclosure of tax-return information that requires separate consent.
2. Information collected
- Inquiries and intake: information you enter, such as your name, email, phone number, address, citizenship or residency information, business ownership and activities, tax years, and the contents of your message.
- Engagements and client records: requested business or tax identifiers, including an EIN or SSN when a form specifically requests it; fee and service details; electronic signatures, acknowledgements and submission timestamps; and documents you provide for an engagement.
- Portal accounts and files: account email and authentication-related information, display or client name, uploaded or delivered files, filenames, file type and size, ownership information, document status, and upload or update timestamps.
- Newsletters: email address, optional first name, preferred language, signup source, consent wording and version, consent time, and confirmation or unsubscribe records.
- Payments and technical information: payment amounts, invoice or reference details and transaction information as applicable; IP or IP-derived security identifiers, browser or device information, referring pages, page visits, interactions, and cookie or session identifiers.
Provide only information needed for the requested purpose. Do not put tax documents, SSNs, passport images, banking details, or passwords into newsletter fields, general contact messages, or chat. Tax identifiers and records should be supplied only through the particular form or channel requested for an engagement.
3. Uses and disclosures
Information is used to respond to requests, assess and provide agreed services, manage accounts and documents, arrange appointments, process billing, maintain records, operate newsletters, understand website use, and help prevent abuse or unauthorized access.
Appropriately authorized personnel and service providers may process information for those purposes. Information may also be disclosed with your authorization or as required by applicable law or legal process.
TaxWise LLC does not sell or rent contact or newsletter-subscriber lists, or upload those details for advertising or retargeting. This does not mean that no provider receives data: the website uses the services described below.
4. Newsletter choices
Newsletter signup is optional and is separate from contacting us or engaging professional services. Where the website signup feature is enabled, it uses email confirmation (double opt-in); a request is not an active newsletter subscription until the email is confirmed. Previously unsubscribed contacts are not reactivated through this signup workflow without renewed confirmation.
The newsletter covers practical tax information, generally monthly with occasional timely reminders, and related service information described in the consent statement. Use the unsubscribe link in a marketing email to stop future newsletters, or contact us about your preference. Confirmation, consent, and suppression records may be kept to document permission and honor opt-outs.
Opting out of newsletters does not prevent necessary replies to your inquiries or service-related communications for an agreed engagement. It does not authorize unrelated marketing or change any consent required for tax-return information.
5. Service providers
Different features use different providers. Some integrations may load when a relevant page opens, even if you do not submit a form or complete a payment.
- Cloudflare: website hosting and delivery through Cloudflare Pages, and spam or security checks through Cloudflare Turnstile where configured. Cloudflare privacy information.
- Google Firebase: account authentication, client-portal files and metadata, and the newsletter backend's consent and security records where deployed and enabled. Firebase privacy information.
- Formspree: delivery of contact, intake, and engagement-form submissions, including requested fields and signature information those forms submit. Formspree privacy information.
- Brevo: newsletter contacts and consent attributes, confirmation and marketing emails, unsubscribe handling, and delivery or engagement events where configured. Brevo privacy information.
- Google Tag Manager, Google Analytics, and Google Calendar: loading measurement tags, measuring website interactions, and appointment booking on pages that offer those features. Google privacy information.
- tawk.to: chat messages and related connection or session information when chat is available. tawk.to privacy information.
- Stripe and PayPal: payment processing and related transaction information when you choose the relevant payment feature. Card and payment-account details are handled through the provider's interface, not a general contact message. Stripe privacy information; PayPal privacy information.
Providers process information needed for their services and may have their own applicable notices and terms. An external provider's privacy notice is not a substitute for this TaxWise LLC policy.
6. Cookies, browser storage, and analytics
Browser storage remembers the website language preference, and authentication and embedded services may use cookies, local storage, or similar technologies for sessions, functionality, security, and measurement.
Analytics and chat tools may process network information, device or browser details, page addresses, referrers, identifiers, and interactions. They should not be assumed to be anonymous. The website's custom newsletter analytics events record signup source and language rather than the submitted name or email; Brevo separately processes recipient information needed for email delivery.
You can manage cookies and storage through your browser and use available provider-specific privacy controls. Blocking or clearing them may affect sign-in, preferences, booking, chat, or other features. Newsletter consent is not a blanket consent to every other type of tracking. This policy page itself does not load the website's third-party analytics or chat widgets.
7. Retention
Retention depends on the record type, its purpose, provider settings, and applicable legal, tax, accounting, or professional obligations. This policy does not promise a fixed automatic deletion period for every record.
Consent and unsubscribe records may be retained to document permission and prevent unwanted marketing. Unsubscribing does not automatically erase client files, transaction records, or all account information. Contact us about retention or a deletion request; some records may need to be retained.
8. Security and professional tax information
Access controls and technical and operational safeguards are used to help protect information. No transmission or storage method can be guaranteed completely secure, and this policy does not assert that every form, ordinary email, or chat session is end-to-end encrypted.
Use the requested portal or other specifically designated channel for sensitive records, keep account credentials private, and do not send unnecessary sensitive information. Tax records can be subject to additional confidentiality and disclosure requirements; an engagement-specific notice or consent may be needed in addition to this public website policy.
9. Privacy questions and requests
Depending on applicable law and your circumstances, you may have rights to request access, correction, deletion, or limits on certain processing. Contact TaxWise LLC at [email protected] and describe your request. Please do not include an SSN, a complete tax return, account passwords, or identity-document images in the initial email.
We may need to verify your identity or authority before handling a request. Applicable rights, exceptions, retention duties, and response requirements depend on the law and the records involved. A request cannot require deletion of information that must be retained for an applicable obligation.
10. International processing and external links
Information may be processed in the United States and other countries where the relevant providers operate. Storage and processing locations depend on the service and its configuration; privacy protections may differ by location.
This website links to government, payment, scheduling, and other external sites. Their operation and privacy practices are governed by their own notices. Review those notices before submitting information to them.
11. Children
This website and its newsletter are not directed to children under 13. Adult clients may provide dependent information needed for an agreed tax engagement; that is different from offering newsletter or online-account services to children. Contact us if you believe a child has submitted information directly through these online features.
12. Changes to this policy
Updates will be posted on this page with a revised update date. Additional notices or consents may be needed when applicable requirements or data practices change. Questions about this policy or either language version can be sent to the contact above.
